Position: Administrative Manager

Type of Employment: Contractual (2 years Contract)

  • Establish and implement administrative procedures in line with organizational requirement
  • Direct and supervise the work of the Administrative Officers
  • Establish procedures for the operation and maintenance of the office
  • Direct and supervise Procurement
  • Manage the office budget for all ongoing services and costs (e.g., rent, utilities, supplies, maintenance, telephone) for all offices
  • Maintain lease agreements and utilities accounts for offices
  • Ensure proper record system is in place to track usage
  • Maintenance of the internal expenditures control system
  • Ensure that a system is in place to monitor staff communications costs
  • Facilitation of information flow, coordination of schedule and other logistic arrangements
  • Ensure all inventory is properly tagged and recorded in the inventory records
  • Conduct semi-annual physical inventory and record any losses or damaged items
  • Prepare report to Management for any losses
  • Assist program staff to manage events (e.g., budgets, venues, equipment and supplies)
  • Advise and assist team members, consultants on all issues of allowances, travel claims
  • Liaison with NGO bureau and government authorities
  • Participate as a full member in the Security Management Team
  • Ensure and manage safety and security of assets, office premises and team members
  • Identify, establish and manage accommodation for international/ national guests
  • Prepare annual property report
  • Report monthly of each segment of Administration
  • Other tasks, as assigned by the supervisor


Education: Bachelor degree in Business Administration. MBA/ LLB is preferable and capable to speak and write in English and Bangla.

Experience: Minimum 5 years of extensive development experience.


  • Strong Written and Verbal communication
  • MS office Application, Email, Internet Browsing
  • Strong writing  capacity in English
  • Fluent in speaking English
  • Demonstrable leadership skill
  • Ability to critically review relevant administrative materials and recommend appropriate measures to overcome relevant issues
  • Technical, financial administrative proposal writing, ToR, MoU preparation
  • Prepare Monthly, quarterly and annual report, administrative report
  • Ability to manage the financial matters with relevant issues
  • Ability to interact with the stakeholders from the International community
  • Ability to focus on the specific job responsibilities
  • Demonstrating/safeguarding personal, organizational and medical ethics
